Customer Service Support – Alfreton 


The Role

Provide Back Office support and customer service for the receiving and processing of Traffic Management requests through to correct invoicing for both external and internal clients. Ensure that clients are invoiced correctly reducing potential rework and the need to raise credit notes. Engage with and support the Operations Team to facilitate smooth customer services. 

Main Duties

  • Accurately create all new job packs on / off hires on InspHire. New job packs need to be created one week in advance or as soon as the order is received. 
  • Ensure all returned paperwork is checked and compliant. Pass any errors to Depot Supervisor / Depot Manager
  • Update InspHire with item numbers and GPH numbers where applicable
  • Request, monitor and chase when necessary, all requested TM CAD Drawings
  • Provide full customer service support and proactively answer customer enquiries.
  • Answer all calls in a timely manner (3 rings)
  • Verify sales run for smooth invoicing
  • Dedicated resource for nominated clients 
  • Complete and maintain live Job Boards and Day Book on a daily basis
  • Prepare customer quotations and seek approval from Depot Manager / Regional Operations Manager prior to submission
  • Complete Job Requests via customer portal
  • Ensure client KPI’s are met 
  • Assist Agents / GTM TM Operatives in gaining ETA’s and report on any potential issues to the Depot Supervisors
  • Cross check between GARD Forms and Job Packs for any anomolies and to ensure correct invoicing
  • Check site clears from previous day the next morning to ensure all equipment has been uplifted
  • Reconcile What’s Out Where Reports for allocated clients. 
  • Liaise with sub-contractors for assistance with works
  • Liaise with your colleagues within the team and assist each other when necessary to ensure everybody’s workload is completed by close of play
  • Pass any errors to the relevant Depot Supervisor / Depot Manager
  • Inform Depot Supervisor / Depot Manager of any upcoming ped / high speed jobs upon receipt

Experience and Qualifications

  • Self organisation and prioritising – job holder should demonstrate the ability to organise their work in such a way that tasks are completed accurately and on time
  • Record keeping – job holder should be able to demonstrate records of work undertaken and completed as well as work in progress
  • Use of work tools – job holder should demonstrate competence using all work tools
  • Initiative and confidence – job holder should be able to demonstrate a willingness to contribute new ideas to improve things and should be able to determine when to refer a matter to someone else or whether to deal with it themselves
